Area Governor Club Visit Sharing #4

Fellow Toastmasters,

This is my club visit sharing from Area S7.
I learned some good practices from the club and shared our practices to them.
Should you find any of the practices useful to your club, just implement it!

Club: Vista Penang Toastmasters Club
Venue: Mayang Mall, Bayan Baru
Date: 7-Oct-2008 7PM


A) Meeting setup:
1) Good U-Shape layout, each member can see stage clearly
2) Guests name display on board, this will make guests felt welcome in new environment and existing members can pronounce their names correctly
3) Perhaps Role Players Name Tag can be displayed on the desk, good practice to let everyone know who is doing what

B) Program agenda:
1) Toastmasters-Of-The-Evening (TOE)
a) She started the meeting with roll call. The roll call is very creative. She asked members to introduce themselves and give view point on what friendship means to them. This is good practice to warm up the meeting atmosphere.
b) Perhaps she can add-on to explain each role player purpose. This will help new members understand what each session can benefit them.
c) Besides leading the meeting agenda, another important role for TOE is make sure meeting start and end on time, she make this happened.

3) Table Topics Session
a) Table Topics Master explained purpose of TT session and time allocation. This is good approach to help new members and guests to follow the program easily
b) Table Topics session is very creative. Good variety and mixture of easy and tough topics. Good practice as different level of participation can adopt. Members enjoy the fun while learning.

4) Timer
a) Good tracking of time alert to speaker in both Table Topics and prepared speech sessions
b) Perhaps he can comment if overall Table Topics Speakers are within or out of time allocation

5) Grammarian
a) Able to detect grammatical error and provide example of correction
b) Able to catch good phrases used
c) Also comment on use of Word of the Day
This is the best Grammarian I met before.

6) Ah Counter
a) Able to catch filler words like “ah” and “err”.
b) Suggest Ah Counter to sum up all filler words to help speaker easily understand how many total filler words used

7) Speech Evaluation
Prepared Speech receiving proper evaluation -> Speech Evaluator explain well on evaluation, which part is good, quote the speech part and explain why that part is important in speech delivery.

C) Other practices observed:
1) "The Best Table Topics" Ribbon presented by members voting. Good encouragement on Table Topics participation.
2) The club may consider providing some refreshment or drinking water. This will enable people focus on meeting.
3) Suggest the club to assign Silent Evaluator for Role Players.
4) Invite comment for meeting improvement from the new members. Good approach to include new member’s needs.

Overall rating by Area Governor: "Exceptional Meeting" rating.
