Area Governor Club Visit Sharing #3

Fellow Toastmasters,

This is my club visit sharing.
Should you find the practices useful to your club, just implement it!

Club: Dell Penang Toastmasters Club
Venue: AP1 Cafeteria
Date: 25-Sep-2008 6.15PM

A) Meeting setup:
1) Good U-Shape layout, each member can see stage clearly
2) Role Players Name Tag display on the desk, good practice to let everyone know who is doing what
3) Perhaps the club can write new member’s name on board, this is to make new member felt welcome in new environment and existing members can pronounce new member’s name correctly

B) Program agenda:
1) Club President urged everyone strike their best involving in the meeting to practice their skill and learn something from the meeting. This is good approach as President set the tone for the meeting and reminds members on their purpose in meeting.

2) Toastmasters-Of-The-Evening (TOE)
a) He started with roll call. This is good practice to warm up the meeting atmosphere and everyone know who-do-what
b) TOE encouraging the team to include Word of The Day in their speech. Good encouragement as team members learned one new word today and immediately practices it on the spot.
c) Avoid apology for mistake happened, instead try to recover it and present the best to your audience
d) Besides leading the meeting agenda, another important role for TOE is make sure meeting start and end on time

3) Table Topics Session
a) Table Topics Master explained purpose of TT session and time allocation. This is good approach to help new members and guests to follow the program easily
b) Table Topics are in good variety and mixture of easy and tough topics. Good practice as different level of participation can adopt

4) Timer
a) Good tracking of time alert to speaker in both Table Topics and prepared speech sessions
b) Perhaps he can comment if overall Table Topics Speakers are within or out of time allocation

5) Grammarian
a) Able to detect grammatical error and provide example of correction
b) Also able to catch good words used

6) Ah Counter
a) Good catch of all filler words including “ah”, “er”, “hmm”
b) Suggest Ah Counter to sum up all filler words to help speaker easily understand how many total filler words used

C) Other good practises:

1) Meeting started after work 6.15pm. Some light refreshment provided to temporary fill the stomach will enable people focus on meeting.

2) "The Best Table Topics" Ribbon presented by members voting. Good encouragement on Table Topics participation.


Overall rating by Area Governor: "Exceptional Meeting" rating.
